I-9 & E-Verify Compliance Spec
JOB SUMMARY
The I-9 & E-Verify Compliance Specialist will be responsible for all aspects off the Company’s compliance with USCIS guidelines for I-9 and E-Verify. The Specialist serves as the subject matter expert and point of contact for I-9 Administrators throughout the company regarding the compliant completion of the I-9 Sections 1 and 2, Supplement B, and creation of E-Verify cases through the Company’s third-party system. This position is required to provide excellent service to Human Resources and business leaders requesting assistance with I-9 verification and associated transactions, while maintaining Service Level Agreements and meeting USCIS compliance requirements. The position is required to meet Employee Services Center quality standards with expert and efficient customer service techniques, and the timely and accurate use of I-9 administration process resources.
MAJOR DUTIES AND RESPONSIBILITIES
Achieve and maintain expertise to navigate and accurately record information with several business systems/applications including HR data, applicant tracking and onboarding system, case management tracking, vendor websites, etc.
Maintain subject matter expertise on all aspects of Form I-9, E-Verify, I-9 Reverification, and reporting through the company’s Onboarding and HCM systems
Coordinate and schedule I-9 and E-Verify employment authorization documents’ review
Complete and/or track I-9 and E-Verify records for all new hires and provide education, communication, and awareness to HR, business leaders and employees to avoid missed deadlines and maintain compliant processes cases
Track expiring work authorization documents, and communicate deadlines for the completion of reverification to employees and HR
Track receipts presented in lieu of documents, and communicate deadlines for receipt of original documents to employees and HR
Create and deliver targeted communications for I-9 Administrators and peer groups about actions required
Create daily and weekly reports to monitor compliance of I-9 verifications and E-Verify submissions
Create and deliver weekly reports for executive leadership on compliance metrics
Identify data entry errors on employees’ I-9 forms and resolve to eliminate negative downstream systems and/or process impacts
Maintain knowledge of current USCIS and DHS/SSA requirements, including acceptable documents, automatic extensions, document retention, and third-party systems integration
Research USCIS website resources and document resolutions to situations involving additional documentation requirements, employment authorization extensions, receipts, employee rights and resources, penalties, and all aspects of I-9/E-Verify
Prepare and maintain accurate and effective templates, training documentation, troubleshooting guides, and job aids
Routinely audit internal processes and proper recordkeeping to ensure employment verification compliance
Work directly with vendor to ensure proper operation of systems related to I-9 & E-Verify tasks
Respond quickly to E-Verify outages and version updates, and communicate accordingly to I-9 Administrators and/or peer groups
Support legal requests and oversee compilation of all documentation requirements for USCIS and DHS audits
Provide actionable monthly metrics on I-9/E-Verify processes
Manage system-access approval process for new and/or terminated I-9 Administrators, and maintain distribution list for active I-9 Administrators
Ensure the team has satisfactorily responded to I-9 related inquiries and provided guidance on all aspects of I-9/E-Verify submissions and corrections
Assist the team with inbound customer service calls as requested
Achieve functional knowledge of all processes and functions supported by the Employee Services Center team
REQUIRED QUALIFICATIONS
Skills/Abilities and Knowledge
Ability to work a flexible schedule based on 8:00 AM ET – 6:30 PM ET, Monday – Friday
Ability to problem solve in a high-volume production oriented environment
High level of analytical, process and problem resolution skills
Clear and effective verbal and written communication skills
Ability to maintain confidentiality
Strong customer service orientation and rapid responsiveness to peer and client group needs
High degrees of attention to detail, logical thinking, and organizational skills
Hold exceptional follow-up cadence of outstanding or pending matters
Have excellent research skills
Previous experience with I-9 and E-Verify is desired
Previous experience working with a multi-state shared services organization is desired
Demonstrate proficiency in Microsoft Word, Excel and PowerPoint
Intermediate to advanced Excel preferred
Education
Associate Degree in Business Administration, Human Resources, related field; or equivalent work experience with prior customer service experience
Related Work Experience
Human Resources and/or Shared Services Operations Center experience - 2+
